Information we collect
When you contact us we may collect your name, work email address, telephone number, organisation, job-related information and the contents of your enquiry. We also retain relevant correspondence and records created while discussing or delivering training and services. Standard technical security logs may record an IP address, device or browser information and the time of a request.
Why we use it and our lawful bases
- Responding to enquiries and preparing proposals: steps requested before a contract and our legitimate interests in managing business enquiries.
- Delivering training or services: performance of a contract and our legitimate interests in administering delivery.
- Financial, regulatory and safeguarding records: legal obligations and legitimate interests in demonstrating appropriate governance.
- Website security: legitimate interests in protecting Sorinteq, users and our systems.
An enquiry is not treated as consent to unrelated marketing. Where consent is required, it will be requested separately and can be withdrawn.
Who receives information
Access is limited to authorised Sorinteq personnel and suppliers that need the information to provide business systems, website hosting, email, form delivery, document storage, professional advice or contracted services. The website enquiry form currently uses a third-party form-delivery provider to transmit submissions to Sorinteq. Suppliers must handle information only for the agreed purpose and with appropriate safeguards.
International transfers
Some technology suppliers may process information outside the United Kingdom. Where this occurs, Sorinteq will use an appropriate transfer mechanism and carry out any assessment required by UK data-protection law.
How long we retain information
- General enquiries that do not become instructions: normally up to 24 months after the last meaningful contact.
- Client, learner, contractual and financial records: normally for the contract period and up to seven years afterwards where needed for legal, tax, assurance or dispute purposes.
- Security logs: for the shortest period reasonably required for security investigation and system administration.
- Longer retention: only where a legal requirement, safeguarding need, complaint, dispute or active investigation makes it necessary.
Your rights
Depending on the circumstances, you may request access, correction, deletion, restriction, portability or object to processing. You may withdraw consent where consent is the lawful basis. Rights are not absolute and Sorinteq may need to verify identity before responding.

Changes to this notice
